This guide covers systematic steps to diagnose and fix connectivity, driver, and network-related issues for both wired and wireless printers.
1. Connectivity and Power Checks
- Check Power & Basic Connection: Ensure the printer is powered on and connected to the same network (Wi-Fi or Ethernet) as the computer.
- Restart Printer and Router: Turn off the printer and router, wait a few seconds, then turn them back on.
- USB Connection: Disconnect and reconnect the cable. Replace the USB cable if the connection remains unstable.
- Wi-Fi Signal: Ensure the printer is within range of the router. Check for electronic devices causing interference and move the printer closer if necessary.
- Reconfigure Wireless Settings (If needed):
- Use the printer’s control panel (Settings $\rightarrow$ Network $\rightarrow$ Wireless Setup Wizard) to enter the known Wi-Fi password.
- WPS (Wireless Protected Setup): If available, press and hold the WPS button on the router ($3-5$ seconds), then start the WPS setup on the printer itself.
2. Driver and Software Management
- Check for Updates: Make sure drivers and firmware are up-to-date. Install the latest drivers and management software from the manufacturer’s website.
- Driver Versions: Some commercial printers require a specific driver. Try different driver versions until one works, ensuring the driver includes all client-needed settings.
- Scanning Issues: If scanning is required or not working, the manufacturer software WILL NEED to be downloaded and installed. If there is a separate scanner driver, install that as well.
- Reinstall Drivers (Last Step): If issues persist:
- Go to Control Panel $\rightarrow$ Devices and Printers.
- Right-click the printer and select Remove device.
- Download the latest drivers from the manufacturer’s website and reinstall.
3. Windows Service and Status Checks
- Check Printer Status: Ensure the printer is not set to offline mode:
- Go to Control Panel $\rightarrow$ Devices and Printers.
- Right-click the printer, select See what’s printing, and ensure Use Printer Offline is not checked.
- Restart Print Spooler Service:
- Press $\text{Windows} + \text{R}$, type
services.msc, and press $\text{Enter}$. - Scroll to Print Spooler service, right-click, and select Restart.
- Press $\text{Windows} + \text{R}$, type
- Run Printer Troubleshooter:
- Go to Settings $\rightarrow$ Update & Security $\rightarrow$ Troubleshoot.
- Select Printer and run the troubleshooter.
4. Network Configuration and Ports (Advanced)
- Verify IP Address: Print a network configuration page from the printer to check its current IP address and confirm it is a valid IP on the network.
- Create Static Port (Recommended Fix):
- Access printer settings via Control Panel $\rightarrow$ Devices and Printers. Right-click the printer and select Printer Properties.
- Under the Ports tab, you can create a new TCP/IP port and use the printer’s Hostname instead of the IP address.
- Why? An IP address can change without notice, but a hostname never will, preventing future connectivity issues.
- Find Hostname: Log into the printer’s Web Administration page (via its IP address) or print the network information sheet from the printer itself.
- Check Network Security Settings:
- Check the router’s settings to ensure no MAC address filtering or IP address blocking is enabled.
- Firewall/Antivirus: Temporarily disable the firewall or antivirus software to see if it resolves the issue. If so, configure the software to allow the printer’s IP address.
5. Mobile and Sharing Features
- Printer Sharing: If printing from a different computer, ensure printer sharing is enabled on the main computer:
- Go to Control Panel $\rightarrow$ Devices and Printers.
- Right-click the printer, select Printer properties, go to the Sharing tab, and check Share this printer.
- AirPrint/ePrint Capability: Just because a printer is Wireless capable, it does not mean it supports AirPrint or ePrint. These are separate/additional features required to print from tablets and cell phones.
6. Last Resort
- Reset to Factory Settings: As a last resort, reset the printer to factory settings via the printer’s control panel (reset or restore menu) and reconfigure it.
- Contact Support: If no steps resolve the issue, contact the printer manufacturer’s support.
- Reinstall Printer Drivers and/or Software.
